A clear spare-parts enquiry helps the supplier identify the right component more quickly. Messages such as “I need an engine part for a Kia” leave too many possibilities. A few specific details can reduce repeated questions and make the quotation more accurate.
Start with the vehicle basics
Send the manufacturer, full model name and production year. If you know the trim level, engine size, fuel type or transmission type, include those details as well. Vehicles with the same model name may use different components depending on their specification.
Include the VIN or chassis number
The VIN is one of the most useful pieces of information for part identification. Send all 17 characters or provide a clear photo from the registration card, windscreen or door label. Make sure the number is readable and not cropped.
Share the existing part number
Many original components have a label, engraving or stamped number. Photograph the complete number and any letters that appear before or after it. Do not rely only on a number copied from an online listing, because similar-looking parts can have different applications.
Add clear photographs
Photos are especially helpful for body parts, lamps, mirrors, connectors, hoses and brackets. Take one wide photo showing where the part fits and several close-ups showing mounting points, plugs, labels and any visible damage.

- Front or rear, and left or right position

Avoid ordering by appearance alone
Colour, shape or a single photograph may not confirm compatibility. Parts can change during a production year, and electrical connectors may differ even when housings look the same. Let the supplier compare the VIN, part number and photos together.
